Guide to comparing air-freight quotations
AIR-FREIGHT QUOTE GUIDE · 22 AUGUST 2026

Why Do Air Freight Quotes Differ?

Two quotes for the same shipment can differ substantially. Margin is only one factor: routing, connections, confirmed capacity, consolidation, chargeable weight and the services included all change the total cost.

Package dimensions, gross weight, commodity, origin, destination and the current quotes are enough for an initial review.
Quick Answer

A per-kilogram rate is not a complete basis for comparison. Compare the same service scope, chargeable weight, confirmed flight plan, conditional charges and commercial cost of delay.

01
ANATOMY OF A QUOTE

Six Factors That Change the Price

01

Routing and Connections

A nonstop movement and a plan using one or more hubs do not have the same transit time or risk profile. A cheaper routing may include longer connections, more handling and greater capacity uncertainty.

02

Confirmed Capacity and Flight Date

A published schedule or indicative departure does not mean space is confirmed. Ask in writing whether the quote is supported by booked weight and volume on a specific flight.

03

Chargeable Weight

Air freight is commonly rated on the higher of actual and volumetric weight. Different dimensions, rounding methods or carrier rules can produce different totals for the same shipment.

04

Consolidation Model

Combining shipments can use capacity efficiently and lower the rate. If departure depends on other cargo becoming ready, however, the planned movement date may change.

05

Included and Excluded Charges

Pickup, export handling, terminal, security, documentation, destination handling, customs clearance and final delivery may not be included on the same basis. A low freight rate may simply have a narrower scope.

06

Acceptance Requirements

Dangerous goods, batteries, temperature control, non-stackable cargo and oversized pieces may need special acceptance, equipment, documents and capacity, directly affecting price and routing.

ROUTING DECISION

Nonstop and Connecting Services Are Not the Same Product

A nonstop movement reaches the destination airport without changing flights at another hub. Connecting cargo is transferred to another flight. A connection can be economical, but missed connections, hub congestion, repeated handling and schedule changes must be considered. A nonstop flight is not an absolute delivery guarantee either: weather, security, customs and airline operations can still affect timing.

CONSOLIDATION

What Is Consolidation—and Where Does the Risk Begin?

Different customers’ cargo routinely travels on the same commercial aircraft. The key question is whether your shipment’s departure depends on other consignments being completed. Ask for the consolidation cut-off, planned flight and fallback plan in writing.

03
HIDDEN COSTS

How Can a Cheap Quote Become Expensive?

01

Storage and terminal dwell charges

02

After-hours and additional handling

03

Warehouse, truck and crew waiting time

04

Rebooking or routing changes

05

Additional customs-operation services

06

Production stoppage, lost sales or a missed season

COMMERCIAL DECISION

The Right Measure: Total Delivered Cost

Add origin, main carriage, destination, customs and final-delivery costs, then quantify the business loss if the shipment is delayed. The lowest opening rate and the lowest total cost are not always the same quote.

04
BEFORE APPROVAL

Eight Questions Before You Approve a Quote

01Is the flight nonstop or connecting?

02If connecting, which airports and how many transfers are involved?

03What are the planned departure and arrival times?

04Are the booking and weight/volume capacity confirmed?

05Does departure depend on other shipments becoming ready?

06Which origin, main-carriage and destination charges are included?

07When do storage, additional handling and after-hours fees arise?

08If the schedule changes, what is the fallback and notification process?

MODE SELECTION

Which Transport Model Should You Choose?

If the delivery date is flexible, a connecting or consolidated option may create a cost advantage. For production-critical, campaign-dated, penalty-sensitive or high-dwell-cost cargo, a confirmed, transparent plan with as few connections as practical may be the safer commercial decision.

FAQ

Frequently Asked Questions

Why might the cheapest air-freight quote not be the best?+

It may cover fewer services, rely on unconfirmed capacity or use more connections. Waiting, handling and replanning costs can erase the initial saving.

Does a nonstop flight guarantee delivery time?+

No. It reduces connection risk, but airline operations, weather, security, terminal handling and customs can still affect timing.

Is consolidated air freight always slow?+

No. A ready consolidation with confirmed capacity can move quickly. The key issue is whether your departure depends on other shipments.

Why do per-kilogram rates differ?+

Carrier, routing, capacity, chargeable weight, minimums, fuel and security surcharges and service scope may all differ.

What is needed to compare quotes?+

Provide the commodity, package count and dimensions, gross weight, origin, destination, cargo-ready date, required delivery date and special acceptance conditions.

Sources and Application Note

The IATA Cargo Handling Manual covers the shared operating process from booking through final delivery. IATA TACT is an industry reference for carrier tariffs, rules, routes and schedules. A final price and plan must be validated against actual shipment data, current capacity and the accepting carrier’s rules.
